How do you reduce the chances of a prospect not turning up to a booked appointment?
It’s one of the biggest frustrations in sales – everything’s set, your diary is full, and then… silence. No-show.
After working on thousands of appointments for our clients, we’ve tested dozens of methods – and here are the ones that really work:
✅ Use a scheduling tool like Calendly or Acuity – it makes it easy for prospects to book in, and it ensures both sides have the details locked in.
✅ Set up automatic reminders – email and text reminders in the run-up to the appointment make a huge difference.
✅ Personally call them 48 hours in advance – a friendly call to confirm they’re good to go often helps boost attendance and builds rapport early.
✅ If they don’t join the Zoom/Teams meeting… call them immediately – sometimes they just need a nudge (or forgot which link to click!).
We follow this process religiously for all of our clients – and while no system can eliminate no-shows completely (life happens!), it significantly reduces them.
